Before the Institute
PLEASE COMPLETE - APSI 2018 Consultant To Do List
The Consultant To Do List is important to reference and includes how and when to submit your course descriptions and personal bios for the website, how and when to submit classroom supply needs, participant materials, textbook information and requests for guest speakers and on-campus activities.
Meeting the deadlines outlined in the To Do List ensures that UT staff will have the time needed to fulfill your requests and create the best possible institute experience for you and your participants.
Lodging Information: This year, all consultants that do not live in the Austin area will stay on campus in a private residence hall room. All rooms are equipped with WIFI (Kristen will provide the WIFI passcodes for the week) towels, bedding and pillows, a private bathroom, and a small fridge and microwave. Kristen should have more information on the residence hall, including location, check-in and parking procedures, in March and will post details to this website as they become available to her.
Transportation Information: Most of our consultants will drive from their home to UT Austin. In some cases, for consultants outside of the state of Texas, it could be most cost-effective to fly in for APSI. If that is the case, Kristen will be in touch with consultants outside of the state of Texas about driving and being reimbursed for mileage vs. booking a flight. UT will book flights and if necessary, a rental car. Kristen will not move forward with a flight/rental car before talking to you about the options first.
Sunday Set Up and Welcome Dinner Information: Beginning at 3:30pm the Sunday before your institute, all consultants will have an opportunity to visit their classroom, drop off any supplies they have brought with them, test the audio/visual equipment and make any changes to the set up as needed. UT staff will set up tables and chairs. Requested supplies, and materials - including College Board bundles, attendance sheets and name tags will also be placed in your classroom. UT staff will unpack and place any free textbooks ordered from publishers at the front of the classroom. A welcome dinner will be held that evening with time to catch up and review procedures for the week. Time and location TBD.
Participant Rosters: We will send an electronic copy of your participant roster with their school email addresses to you via email the Thursday before your institute begins. If there are any updates to the roster, will email an updated version to you as soon as we can. If you would like a participant roster before that time, please let Kristen know and she will email you the most current roster.
Payment Information: Contractors for UT Austin are paid after their institute has finished. UT Austin takes an average of 4-6 weeks to get payments out to contractors. If you have chosen to be paid via direct deposit, this cuts some time off of the wait. For those driving, you will not need to submit mileage information, that has already been calculated by our team and will be included in your check or direct deposit amount. You will not need to submit Per Diem receipts for evening meals - $80 will be included in your payment to cover evening meals for the four institute days.
If Kristen booked you a flight and you had to pay for checked bags, please submit those receipts to Kristen as soon as possible. You can take a picture of your receipt and email it to apsi@austin.utexas.edu if that is easiest.
